Shift Notes are here!
  • Add notes to any shift directly from the shift detail view on mobile or the quick menu on web
  • @mention the shift assignee or any manager to loop in the right people on a note
  • Notes are visible to everyone with access to that shift, keeping the whole team on the same page
  • Managers can edit or delete any note; staff can edit or delete their own
  • Optionally apply a note to all shifts in a recurring series at once

Time Off

Staff can now submit time off requests directly in NetGym, including date, time, reason, and an optional note
  • Managers can view, approve, or decline all staff time off requests from a centralized Time Off dashboard — with the ability to add a reason when declining
  • When time off overlaps with scheduled shifts, staff are automatically prompted to send cover requests for affected shifts at submission (and approval)
  • Approved time off surfaces directly on the Shift Schedule so managers avoid scheduling staff during unavailable periods
  • Managers can configure time off policies — including minimum notice, submission windows, and required reasons — under Time Off Settings

Open shifts just got a whole lot easier to manage
Staff can now pick up open shifts directly, and managers have full control over who gets approved — all without creating a cover request first. We also added smarter options for notifying your team when you publish a schedule with open shifts.
  • Staff can now view and accept or decline open shifts on their schedule, filtered to their team and location
  • Managers can review responses to open shifts, see who's accepted, available, or unavailable, and approve staff directly from the open shift details page
  • Approved staff are automatically assigned to the shift and notified via push and/or email based on their shift coverage notification preferences
  • When publishing a schedule with open shifts, managers can now choose to: do nothing, notify eligible staff via email, or automatically create cover requests for unassigned shifts
  • Managers can also convert an open shift to a cover request at any time from the open shift details page
Note: the changes applies to single shifts only. Staff cannot accept a series of shifts at once.

The NetGym home page is now a personalized, role-based dashboard that puts the most important information front and center the moment you log in. No more digging around — everything you need to start your day is right there.
New home page for both mobile and web with role-specific layouts for managers and staff
  • Managers now see at-a-glance widgets for outstanding sub requests, uncovered shifts, unread messages, posts needing attention, upcoming schedule, incomplete trainings, and outstanding documentation
  • Staff see a personalized view with upcoming shifts and classes, available shifts to pick up, open sub requests they've sent, assigned tasks, recent posts, unread messages, trainings, and documentation
  • On mobile, we've moved navigation items from the "More" tab into the hamburger menu (≡) to streamline the bottom nav

When enabled, classes from your scheduling system can now be viewed on My Schedule and/or Team Schedule (depending on your permissions).
This feature allows managers to view instructors’ permanent class schedules—synced from external scheduling platforms—directly alongside shifts scheduled in NetGym. The goal is to reduce scheduling conflicts, improve staffing decisions, and give managers full visibility into staff commitments.
If you have shift scheduling on within NetGym,
  • Navigate to Schedule > My Schedule to view your permanently scheduled shifts + classes.
  • Navigate to Schedule > Team Schedule to view
    whole team
    scheduled shifts + classes. If you have permission to edit shifts, you can do so from this page as well.
  • Filters are available on Team Schedule to filter by: location, type, team, and staff
  • If any shifts or classes have an associated sub request, you will see the status reflected on both pages and can click in to navigate to the request
  • "Shift Crew" if enabled, now includes instructors teaching during your shift

If you do not have shift scheduling on within NetGym, but do have "My Schedule" enabled to sync permanent classes,
  • Navigate to Schedule > My Schedule to view your permanently scheduled classes

NetGym's Documentation feature now supports a new category setting that allows management to upload a PDF for staff to review and sign directly within the platform. This is in addition to the existing "staff uploads their own attachment" flow. Categories can optionally require manager review before a submission is considered complete.

New report for time clock entries
  • Scheduled and unscheduled time clock entries visible here
  • Users with permission to update time clock entries are able to edit/add notes to existing entries
  • Export includes all columns + alert columns for late clock ins, late clock outs, and edited by manager
Use this report in combination with the existing Shift Reporting + Time Tracking reports to get a full view of time worked by staff!

  • Account Owners can add a custom display name and change the description text when editing roles

Overview
If your studio does
not
have a scheduling integration connected to NetGym, you can now manually track when an approved sub request has been updated in your scheduling system.
This helps you and your managers confirm that the substitute instructor has officially been swapped in on your live schedule.
